This collective philosophy is encapsulated in our Code of Conduct, which outlines your duties as an employee, contractor, or consultant.

While the Code cannot replace sound judgment nor address every scenario you may face, it does provide the fundamental principles and standards we expect you to follow and uphold while at work.

  • Consistently prioritize the best interests of our clients, partners, and colleagues;
  • Promote a work environment devoid of inappropriate behavior, discrimination, misconduct, bullying, harassment, or illegal activities;
  • Conduct oneself in a manner that builds trust, confidence, and positive relations among customers, coworkers, and partners;
  • Show respect and dignity toward both employees and clients;
  • Act with honesty, integrity, and fairness;
  • Safeguard Wildhorn Transport’ assets, information, and reputation;

  • Fulfill our legal, regulatory, and internal obligations;

It is imperative that you consistently adhere to the guidelines set forth in the Code of Conduct. Any potential violations will be thoroughly examined and, if verified, could lead to disciplinary measures, possibly including termination of employment.

Conduct and Behavior Standards

We maintain a strict policy against any inappropriate actions, discrimination, irresponsible behavior, bullying, harassment, or illegal activities in the workplace. If you require further information or wish to report an issue, you must contact your manager.

Professional Standards

Our conduct is always professional, aiming to build trust, confidence, and positive relationships with customers, colleagues, suppliers, and the public at large.

You demonstrate this both within and outside the workplace by:

  • Showing others dignity, fairness, and respect;
  • Adhering to all relevant policies, procedures, laws, and regulations that pertain to your role, while holding yourself accountable and beyond reproach for your actions; and
  • Accessing information about a colleague or customer only with specific authorization based on a job-related requirement.

Your Responsibilities

You must work in alignment with this Code and to consistently conduct yourself accordingly, reporting any potential breaches of the Code to your manager.

Reporting A Breach of The Code

Should you notice a violation of the Code, it’s imperative to inform your manager. Individuals who report significant instances of inappropriate business conduct or behavior by employees can do so without fear of retaliation or discrimination and will be shielded from victimization.

Reports must be submitted with honesty and integrity. A report made in “good faith” signifies that you have shared all available information and genuinely believe it to be accurate.

Consequences of Violating The Code of Conduct

Our Code provides specific instances of misconduct as identified by Wildhorn Transport, but it doesn’t encompass every scenario you might face while working with us.

Building a relationship founded on trust is essential. Any suspected violations of our Code will be thoroughly examined by your supervisor, with assistance from the pertinent specialist department. Should these investigations uncover any breaches, suitable disciplinary and corrective measures will be implemented. These could range from offering training, coaching, and counseling to issuing formal warnings or even terminating employment.

Health, Safety, and Wellbeing

Wildhorn Transport is dedicated to providing a safe and healthy environment for our employees, clients, contractors, and visitors. Every employee holds a crucial and accountable role in sustaining a secure and healthy workplace by:

  • Exercising all reasonable care for their own safety and that of others while at work;
  • Adhering to any reasonable instructions given regarding health and safety;
  • Managing risks in their workplace as much as possible; and
  • Promptly reporting incidents and unsafe conditions to their managers once they become aware of them.

Drugs and Alcohol

The consumption of drugs and alcohol can hinder an employee’s ability to perform their duties safely and efficiently while maintaining respect for colleagues, clients, and the overall safety and wellbeing of the public.

Consequently, employees are prohibited from attending or returning to work under the influence of drugs or alcohol. This rule also applies to prescribed medications if they affect the employee’s performance. The unauthorized use, sale, possession, exchange, or distribution of alcohol or drugs is strictly forbidden at all Wildhorn Transport locations and during working hours.

Furthermore, all our sites are designated as Smoke-Free Zones.

Honesty and Integrity

During your employment, you may have access to our customers’ or Wildhorn Transport’ financial resources, information, databases, merchandise, and documents.

It is imperative that you refrain from stealing, borrowing, misusing items for personal purposes, or accessing information and goods without appropriate authorization.

Preventing Fraud and Theft

It is everyone’s duty to help in the prevention of fraud and theft. Engaging in fraudulent behavior involves deceitful actions, or failing to act honestly, that lead to actual or potential financial harm or unfair advantage. This category includes:

  • Stealing money, products, information, or property
  • Intentionally altering, hiding, or destroying documents
  • Engaging in bribery

 

All staff members should be vigilant for any suspicious activities and adhere to established protocols to reduce instances of fraud and theft. Not reporting fraud or theft can be as grave as committing the act itself. Thus, if you suspect any fraudulent activity or feel pressured by a customer or colleague to ignore or violate our guidelines, promptly inform your supervisor.

Monitoring and Surveillance

At Wildhorn Transport, video surveillance systems are installed in our facilities to safeguard our employees, contractors, and clients, ensuring their safety at all times. The surveillance is conducted ethically, with cameras clearly visible to all. We also routinely oversee the use of our IT systems. Our IT department gathers and securely stores details about email, internet, social media, and other electronic communications activities, including the content of these communications. This information is protected and shared within the organization only when necessary.

Occasionally, additional monitoring or surveillance measures might be implemented during investigations.

Use of Information and Information Systems

Our computer, telephone, and network systems are provided as essential tools for performing your job duties. They are intended solely for work-related purposes and must be used responsibly at all times.

Avoid using these systems for the following purposes:

  • Sharing, accessing, or distributing inappropriate, sexually explicit, or offensive content;
  • Disseminating language that is profane, derogatory, discriminatory, harassing, threatening, or abusive;
  • Visiting any email service providers or websites (like Gmail, Yahoo Mail, Hotmail, etc.) that are not approved by the Wildhorn Transport IT department.

If you receive inappropriate content, promptly delete it and inform the sender to cease further communication of that nature.

Notify your manager if such behavior persists. Should you accidentally visit an inappropriate site, disconnect immediately.

Keep your passwords confidential; you are accountable for any actions carried out under your login credentials.

Social Media

We urge you to engage with social media responsibly, ensuring your actions are lawful, transparent, and respectful towards our company, clients, colleagues, and anyone else you connect with online.

Unless granted explicit permission, you must not post on social media as a representative of Wildhorn Transport. When using social media platforms, make sure your remarks are not mistaken for Wildhorn Transport’ official views unless you have been expressly authorized to speak on behalf of the company.

Media Discussion/ Publicity

You are not permitted to make public announcements regarding Wildhorn Transport unless you have received authorization

Conflicts of Interest

A conflict of interest arises when your personal or professional interests might interfere with your duties and responsibilities as an employee.

Strive to prevent any situations where conflicts of interest might arise. Be mindful in your interactions with clients and vendors to ensure that these relationships do not lead to obligations that could compromise or sway your business dealings or interfere with your responsibilities. It is crucial to recognize personal or professional conditions that could potentially cause, or appear to cause, conflicts of interest. Notify your supervisor as soon as you identify or suspect such a situation. It is important to refrain from providing products or services if you suspect they might be used for unlawful activities.

Benefits, Gifts and Entertainment

Exercise caution when accepting gifts or benefits, as they may create an obligation towards the donor. Always report any gifts, favors, or other advantages to your supervisor.

Complying with Legal and Regulatory Obligations and Internal Standards

Wildhorn Transport must adhere to various laws, regulations, industry standards, and practices that govern how our business operates.

We anticipate that our team members will adhere to all applicable laws, regulations, codes, as well as internal policies, procedures, and processes relevant to Wildhorn Transport. Should there be any suspected, potential, or actual instances of non-compliance, they must be reported to your supervisor without delay. Violations may include:

  • Exceeding the posted speed limit while driving,
  • Operating a vehicle while impaired due to fatigue or under the influence of substances that enhance performance, or
  • Not properly adhering to a procedure or policy agreed upon when joining Wildhorn Transport.

Confidentiality and Privacy 

During your tenure with us, you might gain access to personal information such as databases concerning customers, employees, suppliers, and other individuals, along with sensitive commercial information belonging to Wildhorn Transport. It is essential to maintain the confidentiality of this information and utilize it solely for business purposes related to Wildhorn Transport. If you suspect any misuse of personal information or databases, it is imperative to inform your supervisor.

Safeguarding and Sensitive Data

Proper management of all sensitive data is crucial to adhere to existing laws and corporate policies. This involves ensuring that such information is stored in a manner that restricts access solely to individuals whose roles necessitate its use.

Sensitive data encompasses:

  • Any information shared, provided, or otherwise made accessible during your tenure with the company.
  • Projects or contributions completed in the scope of your employment duties.

This does not include information that has been publicly disclosed by Wildhorn Transport.

To clarify:

  • The use and access of sensitive data, including databases, must be strictly for job-related activities.
  • Any other use, access, or sharing without appropriate authorization is prohibited unless legally mandated.

Sensitive data should only be employed for its intended purpose and in compliance with legal requirements.

Confidentiality After Termination Of Employment

Your duty to safeguard confidential information, such as databases acquired during your time at Wildhorn Transport, persists even after your employment concludes. This implies you are prohibited from:

  • Using the information for personal gain or benefiting others;
  • Revealing it to any third parties;
  • Copying or removing it when departing.

Outside Employment Or Business Ventures

Engaging in employment or business activities outside of your working hours is your personal matter, as long as it does not create a conflict of interest or hinder your job performance at Wildhorn Transport. For instance, working for a competitor might lead to a conflict of interest. Similarly, starting a transport company could also result in a conflict.
